This website is operated by Aurea Intelligence Ltd, a company registered in England & Wales (company number 17373910), registered office 14 Inkerman Street, Bacup, OL13 9JD. In this policy, "we", "us" and "our" refer to Aurea Intelligence Ltd.
We are the data controller for the personal data described below. If you want to ask us anything about it, email [email protected] or write to the registered office above.
1. Who we are and how to reach us
Data controller: Aurea Intelligence Ltd, 14 Inkerman Street, Bacup, Lancashire, OL13 9JD, United Kingdom. Company number 17373910.
Contact for privacy and data protection queries: [email protected] · +44 7988 036 715.
We have not appointed a Data Protection Officer; we are not required to. Enquiries go to the address above and are handled by a director.
2. What personal data we collect
- Enquiry form data — the name, email address, the service categories you tick, and whatever you write in the message box.
- Direct correspondence — anything you send us by email or tell us on the phone, including your phone number if you give it, and any technical detail you share about your systems.
- Client and project records — for people who go on to become clients: contact details, billing details, contract documents and invoices.
- Server logs — our hosting provider records your IP address, browser type and the pages requested, as a normal part of serving the site securely.
We do not run analytics, advertising or tracking scripts on this site, and we do not build profiles of visitors. We do not knowingly collect data about children.
3. Why we process it, and our lawful basis
| Purpose | Data used | Lawful basis (Art. 6 UK GDPR) |
|---|---|---|
| Replying to an enquiry and preparing a quote | Name, email, selected services, message | Legitimate interests — responding to someone who has deliberately contacted us about our services |
| Delivering a project we have been engaged for | Contact details, project correspondence, access details | Performance of a contract |
| Invoicing and keeping accounting records | Billing details, invoices | Legal obligation (UK tax and company law) |
| Keeping this website available and secure | IP address, browser data in server logs | Legitimate interests — security and fraud prevention |
| Remembering your cookie choice | A single stored value in your browser | Strictly necessary — it exists only to record your own decision |
4. How long we keep it
- Enquiries that do not become work: 24 months from the last contact, then deleted.
- Client project records and correspondence: 6 years after the end of the engagement, which matches the limitation period for contract claims in England & Wales.
- Invoices and accounting records: 6 years from the end of the accounting period, as required by UK tax law.
- Server logs: up to 90 days, per our hosting provider's retention settings.
5. Who else sees it
We do not sell your personal data, and we do not share it for anyone else's marketing. We use a small number of service providers who process data on our behalf under written terms:
- Our web hosting provider — hosts this website and produces the server logs described above.
- Our email provider — carries and stores the correspondence between us.
- Our accounting software provider — holds invoices and billing records.
- Google Fonts and Cloudflare (cdnjs) — serve the typefaces and the animation library used on this site. Your browser requests those files directly, so those providers receive your IP address and browser details. They set no cookies for that request.
We may also disclose data where the law requires it, or to our professional advisers where necessary.
6. Transfers outside the UK
Google and Cloudflare are US-headquartered and may process the request data described above outside the UK. Those transfers rely on the UK's adequacy regulations for the EU/EEA where applicable, and otherwise on the International Data Transfer Addendum to the EU Standard Contractual Clauses. Our hosting, email and accounting providers store data within the UK or the EEA.
7. Your rights
Under the UK GDPR you have the right to:
- be told what personal data we hold about you, and get a copy of it (access);
- have inaccurate data corrected (rectification);
- have data deleted where we no longer have grounds to keep it (erasure);
- ask us to pause processing while a dispute is resolved (restriction);
- receive data you gave us in a portable, machine-readable form (portability);
- object to processing we carry out under legitimate interests, including at any time;
- not be subject to automated decision-making — we do not carry out any.
8. Withdrawing consent
Where we rely on consent, you can withdraw it at any time and it costs you nothing. To change your cookie choice on this site, clear this site's data in your browser settings and reload the page — the banner will ask again. To stop us using your contact details for anything else, email [email protected] and we will action it.
9. How to exercise your rights
Email [email protected] with what you want to do. We will respond within one month of receiving your request, as the UK GDPR requires. If a request is unusually complex we may extend that by up to two further months, and we will tell you why within the first month. We may ask you to confirm your identity before we release personal data.
10. Complaints
If you think we have handled your data badly, tell us first — email [email protected] and we will look into it. You also have the right to complain directly to the UK supervisory authority, the Information Commissioner's Office (ICO):
Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF · Helpline 0303 123 1113 · www.ico.org.uk
11. Cookies
This site sets no analytics, advertising or third-party tracking cookies. It stores one value in your browser to remember whether you accepted or declined the cookie banner. The full detail is in our Cookie Policy.
12. Changes to this policy
If we change how we handle personal data we will update this page and change the date at the top. Where the change is significant and we hold your contact details, we will tell you directly.
